Who Collects Your Information

Information is collected on this web site, particularly through our registration form, by the Registration Manager on behalf of Providence Anime Conference and the New England Anime Society.

What Information is Collected

We gather full name, mailing address, emergency contact phone number, e-mail address, a badge name (nickname), gender, and date of birth.

How This Information is Used

We use this information solely for planning and managing Providence Anime Conference.

• Mailing addresses and e-mail addresses are collected to contact members regarding any problems with registration or payment and to verify membership.
• Members' real names are printed in very small letters on membership badges. This is so that staff can have access to the real names of members. It is not legible unless the badge is handed to someone to read closely.
• Badge names are printed in large letters on the badge to serve the usual purpose of a name tag.
• Emergency contact phone numbers will be used to contact a responsible party in the event a member is somehow incapacitated at the conference.
• Aggregate, non-individual, non-identifiable data about geographical location, gender, and ages may be used for demographic information in planning internal to Providence Anime Conference or for promotional purposes. This information is in no way connectable to any individual member.

How This Information is Shared and Protected

Providence Anime Conference and the New England Anime Society will not distribute your information to outside parties, except as specifically required to achieve the uses above.

• Providence Anime Conference staff have access to registration information which is required to perform their staff duties.
• Our membership database is stored with our hosting provider, DreamHost. They do not share any information with third parties, per their privacy policy.
• A third-party subcontractor may be given a copy of the registration database to provide on-site registration services. Providence Anime Conference retains full ownership of all registration databases and will not permit subcontractors to distribute any information.
• Emergency contact phone numbers may be provided to police and EMS if they have need to communicate with that emergency contact. All emergency contact phone numbers will be removed from the Providence Anime Conference registration database within seven (7) days of the completion of the conference.
• Your birthdate is used to determine if you meet the minimum age requirement and for demographic purposes. It is not stored.
• Your gender is used solely for demographic purposes and is not stored.
• As enumerated above in "How This Information is Used", limited information may be provided to the general public.
• Providence Anime Conference will undertake no other sharing of personal data, except as required by law.
• While transmitted over the Internet, your information is protected with industry-standard 128-bit SSL. Third parties cannot access your information in transit.

How to Have Your Information Removed

Contact the Registration Manager to have all personal information purged from our database. Please note that having your personal information purged will result in the loss of your Providence Anime Conference membership with no refund provided.
Postal mail address will be posted when online registration is available.
